Privacy Policy
Personal information, attendee evidence and privacy rights at eCapital Summit.
Policy draft pending legal review and operational confirmation. No new bookings or payments are being accepted.
1. Who is responsible
eCapital Global Ltd is responsible for personal information it processes as the summit organiser. Company number: 14113204 (England and Wales). Registered office: 167-169 Great Portland Street, 5th Floor, London, United Kingdom, W1W 5PF. Write to this address for privacy questions or rights requests, or use an existing verified booking correspondence channel.
2. Website and booking information
The current website provides event information and does not contain a booking, card-entry, bank-transfer or business-evidence upload form. Do not send payment credentials or identity documents through informal channels.
When you contact the organiser or book through an authorised channel, relevant information may include your name, contact details, organisation, booking record, payment reference and evidence of business intent. Accessibility or dietary information can reveal sensitive personal information and should be limited to what is necessary; the organiser must establish an appropriate lawful basis and, where needed, explicit consent before processing it.
Hosting and external resources may process technical information such as IP address, request time, browser information and error records. This site loads fonts from Google; font requests can disclose your IP address and request details to Google. External hotel and sponsor websites have their own privacy notices.
3. Purposes and lawful bases
Necessary booking and attendee communications may be processed to take requested pre-contract steps or perform a contract. Legally required accounting or compliance records may be processed to meet legal obligations. Security and proportionate event administration may rely on legitimate interests only after assessing the impact on individuals. Where consent is relied on, it must be freely given and can be withdrawn.
Do not treat attendance as blanket consent to marketing, publication of identifiable photos, sharing details with sponsors, or collection of unnecessary business evidence. Any such use requires its own notice and appropriate lawful basis. Business-intent evidence must be limited to the stated eligibility purpose.
4. Sharing and international processing
Where necessary and lawful, relevant information may be shared with event administration suppliers, the venue, payment and banking providers, professional advisers or competent authorities. Sponsors must not receive attendee contact lists merely because they sponsor the event.
The organiser is based in the UK and the event is in the Philippines. Any actual cross-border sharing, hosting locations and recipients must be identified before collection. Restricted international transfers require an appropriate legal mechanism and safeguards where applicable. This notice does not certify that any particular supplier or transfer safeguard has been verified.
5. Security and retention
Collect only necessary information, restrict access to authorised people, and use appropriate safeguards. No online service can guarantee absolute security. Full card numbers, security codes, bank passwords and one-time authentication codes must not be sent to the organiser.
Information must be retained only as long as necessary for its stated purpose and applicable legal obligations, then securely deleted or anonymised. Specific retention periods for bookings, accounting records and business-intent evidence must be confirmed before collection; this policy does not invent a retention schedule.
6. Your rights and complaints
Depending on applicable law, you may request access, correction, erasure, restriction, portability, or object to certain processing. You may withdraw consent without affecting earlier lawful processing and object to direct marketing. Rights are subject to applicable conditions and exemptions; proportionate identity verification may be needed.
Write to the registered office to exercise rights. You may also complain to the UK Information Commissioner’s Office at ico.org.uk, or another competent data protection authority. You do not have to contact the organiser first to make a regulatory complaint.
7. Cookies and changes
This version does not introduce advertising trackers or optional analytics cookies. Technical storage used by hosting services must be assessed separately; if non-essential cookies or similar technologies are introduced, provide required information and obtain consent before use. Browser controls can restrict cookies, but do not replace the organiser’s obligations.
Material changes in processing require an updated notice before the new use begins. Actual suppliers, contact channels, retention periods and any collection process must be confirmed before bookings or evidence collection are opened.
